Email Setup Guide

Before connecting your new email, first check how your existing account is configured. Follow the correct instructions for POP3 or IMAP to protect your existing emails.

STOP! Before making any changes

First, check whether your existing email account is configured as POP3 or IMAP.

The setup process is different for each account type.

Do not delete your existing account, change its settings or import backup files until you have identified your account type and confirmed your email history is safe.

Check the detailed steps below to find out your email account type - POP3 or IMAP.

If you cannot identify your account type, take a screenshot of your current account settings and send it to YSB. Hide passwords in screenshots.

What will your email look like after setup?

Your setup depends on how your existing email account is configured.
Your new Webmail mailbox uses IMAP. Do NOT change an old POP3 account to IMAP, keep POP3 email as a separate email folder.

See the diagrams below to understand the difference👇

OPTION 1

Your existing email is POP3

Keep your old account and add your new account separately.

Email accounts

Old Email Account

POP3 · Digital Pacific

  • Inbox
  • Sent
  • Drafts
  • Customer Emails
  • Other Folders

New Email Account

IMAP · New mailbox

  • Inbox
  • Sent
  • Drafts

Two separate account folders

  1. 1
    Keep your existing POP3 account.
  2. 2
Add your new email account using IMAP.
  3. 3
Your old emails remain in the old account or local folders, provided they are still available and preserved.
You do not need to import your backup files into the new mailbox just to keep your old emails accessible on this computer. Keep your backup files safely stored.

OPTION 2

Your existing email is IMAP

Update your existing account's settings after confirming your mailbox migration.

Email accounts

Existing Email Account

IMAP · New mailbox

  • Inbox
  • Sent
  • Drafts
  • Customer Emails
  • Other Folders

Updated connection settings

  • Incoming server: supplied by YSB
  • Outgoing server: supplied by YSB
  • Password: New mailbox password
  • Connection: IMAP

One existing account + updated settings

  1. 1
    Keep your existing IMAP account.
  2. 2
Update its incoming and outgoing server settings and password using the details supplied by YSB.
  3. 3
Save the changes and test your email.
Only update your existing account after YSB has confirmed that your historical emails have been migrated successfully or otherwise preserved. If you are unsure, contact YSB before changing anything.

The main difference

POP3: if your email is currently set up as POP3, you will need to add a new email account using the IMAP settings. Your old account stays separate.

Click here for steps to Add your new IMAP account folder, and sync with Webmail.

IMAP: if your account was already set up as IMAP before migration, you do not need to add a new account — you only need to modify the server settings.

Click here to Modify the settings of your existing IMAP account to sync with Webmail.

1. Steps to check your existing account type:

Select your device and check the existing account type (discover if iMAP or POP 3)

Still unsure? Stop and contact YSB before proceeding. Send your device type, the app you use to manage your emails, and a screenshot of the account settings with passwords hidden.
If the account says Exchange, send YSB a screenshot showing the email address; do not treat it as POP3 or IMAP.

2. Protect and backup your old emails

A verified computer backup is still important. Back up before changing any device, even if you mostly use a phone. Keep original accounts, local folders and exported files intact.

If you have no computer, or important emails exist only on your phone, contact YSB first. Do not clear app data, remove accounts or import files without YSB’s confirmation.

  • Backups contain only available messages currently on your app; not all mail is stored on a server.
  • YSB will export recoverable mail when the old server is accessible. A backup cannot retrieve messages unavailable during the outage.
  • Ask senders to resend important messages sent between for the dates your emails stopped. Could be between 30 October and 3 November.
  • Messages never received by a server cannot be recovered.

3. Connect your new mailbox

Before changing existing IMAP settings: YSB must confirm that the old mailbox was successfully backed up by you and safely preserved. If not, stop and contact YSB.
